We're looking for a site coordinator to lead on maintaining a welcoming, safe and well supported workplace. You’ll be the point of contact for the office and a culture ambassador for the local team and space. You’ll be responsible for overseeing the day-to-day operations of the space, ensuring an efficient, well-organized, and productive work environment. You’ll manage office resources, support local leadership and teams, coordinate facility needs, and ensure compliance with company policies. You will lead on creating an engaging and effective workplace environment for our employees.

What You’ll Be Doing

Site Coordination

  • Serve as the on-site point of contact for employees, guests, and vendors; manage reception, mail, supplies, and shipments.

  • Oversee space planning, desk booking, access badges, and conference room readiness.

  • Coordinate maintenance, cleaning, security, and building management.

  • Partner with IT to manage office hardware inventory, AV in meeting rooms, and new-hire setups.

  • Maintain Health & Safety standards (fire wardens, first-aid kits, incident logs, risk assessments).

  • Ensure a hands-on in-person approach to problem solving with a strong bias for action.

People Experience

  • Support employee onboarding/offboarding (workspace, badges, swag, office orientation).

  • Drive office culture initiatives (birthday/holiday moments, recognition programs, charity drives, events).

  • Lead internal communications about office updates, closures, and events.

  • Be the go to expert for the space delivering service with a customer focused mindset.

Compliance and Safety

  • Follow global emergency preparedness, evacuation plans, and response protocols.

  • Ensure workplace compliance and maintain safety documentation.

  • Manage visitor access and security aligned with company standards.

  • Support ergonomic assessments and accommodations.

Events

  • Deliver in house support for all office events (all hands, town halls, trainings)

  • Manage office event communications (invites, RSVPs, reminders, FAQs)

  • Oversee swag sourcing and distribution; manage storage and inventory.

  • Enable flexibility of the space for event delivery and ensure post event reset.

  • Support external-facing events as needed.

What We’re Looking For

  • Proven experience in facilities, office management and/or hospitality environment.

  • Proven success managing vendors and suppliers.

  • Strong project management and organizational skills.

  • Strategic mindset with a hands-on approach to execution.

  • Comfort working in fast-paced, in-person settings.
