Location
This position will be based in Charlotte, NC.
Reporting
This position will report into the Senior Manager, Accounting.
Summary of Role
The Equity Administrator will be responsible for managing all aspects of the Company’s equity administration function, including oversight of stock option grants, restricted stock awards, exercises, terminations, and capitalization table accuracy. This role will also lead the end-to-end implementation of a new equity management software platform, ensuring a scalable, compliant, and well-controlled equity infrastructure.
This individual will serve as a subject matter expert on equity compensation matters, partner cross-functionally with Legal, Finance, HR, and external providers, and ensure compliance with applicable accounting guidance (ASC 718), tax regulations, and plan documents. The Equity Administrator will play a key role in the Finance organization to support process improvement, internal controls, and scaling equity operations to support the Company’s continued growth.
This is a high-visibility role with significant opportunity for expanded scope and team leadership as the company scales.
Strategic & Tactical
- Core Equity Administration (Day-to-Day Operations)
- Administer all aspects of the Company’s equity compensation programs, including stock options, RSUs, and other equity awards from grant through settlement or exercise.
- Maintain and reconcile the capitalization table, ensuring accuracy of authorized, issued, outstanding, vested, and available shares.
- Manage share reserve tracking and provide analysis to support forecasting and planning related to equity utilization.
- Independently prepare and review stock-based compensation calculations, including forfeiture rate assumptions, modification accounting, and EPS impact analysis.
- Serve as a key resource for employees by responding to equity-related inquiries and educating stakeholders on equity programs and processes.
- Systems & Infrastructure (Platform Implementation & Process Design)
- Lead and own the implementation of a new stock administration software platform, including vendor evaluation and selection, system configuration, data migration, testing, documentation, and cross-functional training.
- Establish scalable operating procedures, governance structures, and internal controls to support long-term equity administration efficiency and compliance.
- Identify opportunities to automate and streamline equity processes to improve accuracy, efficiency, and scalability.
- Partner cross-functionally to ensure integration between the equity platform, HRIS, payroll, and financial reporting systems.
- Accounting & Compliance (ASC 718, SOX & Audit Support)
- Support accounting for equity compensation under ASC 718, including review of valuation reports, preparation of stock-based compensation expense schedules, and monthly journal entries.
- Assist in preparation of equity-related disclosures for financial statements and support internal and external audit requests.
- Design, implement, and maintain SOX-compliant controls over equity administration processes, including documentation of narratives and flowcharts, support for control testing, and remediation efforts.
- Collaborate with HR and Payroll to ensure accurate tax withholding, reporting, and compliance for equity transactions.
- Partner closely with Legal to ensure equity grants are processed in accordance with board approvals, plan documents, and applicable securities regulations.
- Strategic & Corporate Support

- Support broader corporate transactions, including M&A, recapitalizations, secondary transactions, or equity restructurings.
- Support special projects including equity plan amendments, introduction of new award types, cap table scenario modeling, dilution analysis, and executive-level equity forecasting.
- Provide analytical insights to Finance and executive leadership regarding equity utilization, dilution trends, and long-term incentive planning.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business, or related field.
- 5+ years of experience in stock administration, equity compensation, or related accounting/finance roles.
- Strong knowledge of equity compensation accounting under ASC 718.
- Demonstrated experience leading or playing a significant hands-on role in implementation of equity management platforms, including requirements gathering, vendor evaluation, system configuration, data validation, and testing.
- Solid understanding of cap table management, option lifecycle events, and equity compliance requirements.
- Experience supporting internal and external audits related to stock-based compensation.
- Experience supporting public company equity governance and compliance, including insider trading administration, Section 16 filings (Forms 3, 4, and 5), 10b5-1 trading plan coordination, and proxy statement equity disclosures.
- Strong organizational skills with the ability to manage multiple deadlines and prioritize effectively.
- Excellent attention to detail and high level of accuracy.
- Strong communication and interpersonal skills, with the ability to partner cross-functionally and explain complex equity concepts clearly.
- Certified Equity Professional (CEP) designation preferred but not required.
