About the Role
We are looking for an Office Assistant to join our operations team on a part-time basis. Your day-to-day tasks will include supporting administrative and documentation activities.
What you’ll do
- Own end-to-end client onboarding operations – managing VAT registration and transfer processes across multiple assigned countries (including Italy)
- Ensure timely and accurate execution of all registration and transfer-related compliance activities
- Adapt and follow processes according to country-specific regulatory requirements
- Coordinate and assign tasks to a team of Virtual Assistants, monitor progress, and measure performance
- Act as the go-to expert and point of contact for registration and transfer topics within the Onboarding Operations team across your assigned countries
- Communicate proactively and clearly with internal teams, stakeholders, and external parties
- Maintain accurate records and ensure data integrity across all systems and tools
- Drive process improvements and contribute to automation initiatives
What we’re looking for
- Experience in administrative/operational field
- Professional English – strong written and verbal communication skills are essential; knowledge of Italian is an advantage but not a requirement
- Excellent organisational and prioritisation skills: ability to assess urgency and importance, manage multiple tasks and deadlines simultaneously, and make clear-headed decisions about what needs to happen first
- Strong attention to detail – accuracy is critical in everything you do
- Confident working with systems and tools: quick to learn new platforms and comfortable with technical environments
- AI proficiency – familiarity with AI tools and openness to continuously developing this skillset are essential
- Advanced Excel skills – you use spreadsheets effectively to track, manage, and report on your work
- Experience coordinating or delegating tasks to others, with the ability to track and evaluate their output
- Structured, proactive mindset with a focus on efficiency and continuous improvement
