The Role

We are looking for a talented candidate for the position of Executive Assistant to CEO for our organisation. EA will be responsible in maintaining confidentiality and privacy at all times for the discharge of the role and responsibilities. Organising internal and external meetings, events, and teleconferences, including booking venues, arranging accommodation, and taking minutes as required.

Responsibilities

  • Prioritising and scheduling: Understand the company and CEO's priorities and maintain the schedule. Schedule meetings across time-zones will be required.
  • Follow ups: Proactively take over and manage all Follow-ups, Coordination and Documentation. Documenting minutes of key meetings and store for reference, and track action items. Assisting in event related coordination work when needed.
  • Travel arrangements: Schedule domestic and international travel, when needed.
  • Meetings: Prepare materials and agendas for team meetings.
  • Proactively identify gaps and understand and assist in building systems based on existing processes
  • Find new and efficient ways to create systems processes to help maximize the CEO's time

Requirements

  • 4-8 years of work experience, preferably in a startup environment
  • Must have experience working closely with the CTO & CEO
  • Proactive and motivated by driving improvement and making a difference
  • Time Management: Excellent time management and the ability to multitask in a fast paced work environment. Each day is different and each challenge is different.
  • Highly organised
  • Flexible working with multi time zoneOwnership: Takes ownership of tasks given, especially in an environment of ambiguity.
