Opportunity:

We are seeking a proactive and detail-oriented People & Office Associate to join our People & Culture team in Budapest. This role plays a key part in delivering a seamless employee experience across the full employee lifecycle—from recruitment and onboarding to employee engagement and offboarding. You will work closely with the HRBP, the Managing Director, as well as internal stakeholders and external partners to ensure HR operations run smoothly and efficiently.

Additionally, you will oversee the day-to-day operations of our office environment. This role is essential in ensuring a clean, safe, and efficient workplace that supports employee well-being and productivity. The ideal candidate will be passionate about sustainability, operational excellence, and creating a positive office experience.

Job Responsibilities:

People Administration

  • Onboarding & Employee Lifecycle
    • Manage the onboarding experience for all new employees, including first-day HR inductions and coordination with line managers.
    • Organize induction schedules and training sessions with IT and other relevant teams.
    • Maintain accurate and up-to-date employee records and documentation.
  • Recruitment Support
    • Assist with all aspects of recruitment, including pre-employment checks (references, background, right to work).
    • Liaise with recruitment agencies and manage employee referral processes.
    • Prepare, check, and issue offer letters and employment contracts.
  • HR Operations & Administration
    • Monitor the HR inbox and ensure timely responses in line with service level agreements (SLAs).
    • Support probation period tracking and coordinate regular check-ins and formal reviews.
    • Ensure all contractual and policy documentation is current and compliant with legislation and best practices.
  • Employee Engagement & Development
    • Support the HRBP in administering employee benefits and compensation programs.
    • Assist with employee engagement initiatives, training programs, and internal communications.
    • Coordinate local learning and development (L&D) activities and support career planning discussions.
  • Projects & Events
    • Contribute to HR projects such as policy development and process improvement.
    • Assist with organizing staff events and participate as a member of the internal Event Committee.

Office Administration

  • Office Supplies & Sustainability
    • Manage office stationery and supplies, ensuring cost-efficiency and minimal waste.
    • Prioritize sustainable sourcing and environmentally friendly practices.
  • Facilities & Maintenance
    • Oversee cleanliness and organization of kitchen and common areas.
    • Report and follow up on equipment issues with suppliers and contractors.
    • Create and maintain a cleaning checklist; regularly inspect cleaning quality with third-party representatives.
    • Organize regular office clean-ups and coordinate proper waste removal and recycling.
  • Vendor & Contractor Management
    • Manage all office-related third-party vendors (e.g., air conditioning, cleaning, kitchen supplies, shredding, deliveries, maintenance).
    • Liaise with building management/landlord for facility issues and ensure timely resolution via ticketing systems.
  • Health, Safety & Compliance
    • Ensure compliance with OHSA requirements, including:
      • Fire and electrical safety reviews
      • Organizing First Aid and Work Safety trainings
      • Incident reporting and compliance tracking
  • Employee Support & Experience
    • Support onboarding and offboarding in collaboration with local IT.
    • Assist with meeting room setup, conference call logistics, and catering arrangements.
    • Coordinate content for office TV displays.
    • Actively contribute to office expansion projects.
    • Continuously seek ways to enhance the employee office experience.
  • Bachelor's degree, preferably in Human Resources, Business Administration, or related field.
  • 2 years of experience in a similar HR support or coordination role.
  • Fluent Hungarian and English (both in speech and writing).
  • Strong organizational, multitasking, and administrative skills with attention to detail.
  • Excellent internal and external customer service skills.
  • Ability to work independently and take initiative.
  • Ability to handle sensitive information with discretion and professionalism.
  • Proficiency in using office software tools.
