Job Summary

You will be responsible for providing quality administrative support to the UK team by ensuring the smooth running of the business operations.
You will be covering a wide range of tasks and activities including (but not limited to) office management, procurement management, travel and accommodation logistics and administrative support required for business expansion.
You will play a crucial role in streamlining processes, operations and activities in London, together with sharing knowledge with the wider Planning & Operations team across 9 international offices.

  • Holistic approach and brilliant human organisational skills, together with strong time-management skills - you are there in right time, picking up things quickly, connecting dots and delivering the results;
  • Excellent oral and written communication skills;
  • Strong interpersonal skills;
  • High level of professionalism and experience tackling sensitive information;
  • Excellent computer skills; proficient or advanced skill in Microsoft Suite (Word, Excel, PowerPoint, and Outlook) and experience with data management.
  • You are passionate about job well done and provide initiatives for improving the processes, systems and efficiency;
  • You are a self-starter with a high degree of energy and careful attention to detail;
  • You have a strong ability to plan effectively, but also flexible to handle the unexpected;
  • You are a creative problem solver, with a strong ability to multitask
  • You are familiar with cross-cultural aspects and able to navigate diverse cultural backgrounds and leadership levels;
  • You have a minimum of two years’ experience in an administrative support role. If you have less years of experience, it should really be your strong side!
  • Experience supporting executives is an added advantage.

Responsibilities

  • Serve as the contact person for vendors including: invoices, supplies, shipping, maintenance, mailing, errands and shopping;
  • Manage office-related equipment, suppliers and purchases, ensuring office supplies are always stocked up;
  • Plan office lay-outs and necessary alterations, moves and improvements;
  • Act as information security delegate to ensure compliance of employees worktools with company standards, this also includes basic IT support in-person and virtually;
  • Execute the collection and submission of monthly expense reconciliations;
  • Support team members to liaise with various external and internal stakeholders to increase/improve workflow efficiency
  • Support new employee onboarding by ensuring availability of necessary work tools prior to resumption and support new hires during the first couple of weeks;
  • Participate in planning and gathering agenda for various online and offline meetings;
  • Coordination of travel and accommodation requests (domestic and international);
  • Support online and offline team socials - planning, execution and reporting
