The role reports to the Chief People Officer.
Responsibilities Include:
- Fully own end-to-end payroll processing for the US (multi-state, large hourly retail population), UK, and Canada, ensuring accuracy, timeliness, and compliance.
- Manage payroll for global contractors through Rippling and oversee EOR payroll for Germany, serving as the primary internal point of contact with vendor partners.
- Partner with our European HR team to validate payroll inputs and maintain accurate, centralized employment data in Rippling, including for France payroll processed externally.
- Prepare, audit, and reconcile payroll each cycle, identifying and resolving discrepancies prior to approval.
- Manage all payroll adjustments based on data provided by HRBPs, including bonuses, commissions, retroactive changes, and adjustments related to expatriation agreements, in partnership with the CPO.
- Maintain and update tax rates across up to ~20 US states, responding to federal, state, and local agency notices.
- Act as primary point of contact for CA EDD, NY State, and other agency inquiries, including unemployment, wage, and payroll-related matters, partnering with HR as needed.
- Ensure year-end filings and statutory forms (W-2s, UK P60s, Canadian T4s, etc.) are issued accurately and on time.
- Prepare monthly commission reports in partnership with Retail Operations and Accounting; support payroll audits and internal controls alongside Accounting.
- Manage 401(k) administration (US) and pension coordination and reporting (UK & Canada) in partnership with the HRBP and CPO, while continuously improving payroll processes and controls.
Requirements:
- 4+ years of hands-on payroll experience, including hourly, multi-state, and contractor payroll.
- Strong working knowledge of US payroll tax compliance, with demonstrated experience navigating California and New York payroll complexities.
- Experience with Rippling preferred, but candidates with comparable payroll platforms (e.g., ADP, ADP Workforce Now, or similar) are welcome.
- Advanced Excel skills (pivot tables, lookups, reconciliations).
- High integrity, sound judgment, and the ability to manage confidential and sensitive information with discretion and professionalism.
- A collaborative, detail-oriented team player who communicates clearly and partners effectively with HR, Finance, Operations, and external providers.
